Cancellation of old purchase orders in D365 F&O
Writing on the CloudFronts blog, Vrushali Nawathye stated that in Dynamics 365 Finance and Operations, it’s essential to manage the lifecycle of purchase orders to keep procurement, inventory, and financial records accurate.
Nawathye noted that regularly reviewing and canceling irrelevant POs improves reporting accuracy and helps avoid unnecessary liabilities. She explained that POs can exist in various stages, i.e., draft, in review, approved, confirmed, finalized, or rejected, and they may have statuses such as open order, canceled, received, or invoiced.
From a finance perspective, open POs represent potential spending, and as such, canceling those that are no longer needed ensures records reflect actual business intent. However, she added that POs that are finalized, invoiced, or received should not be canceled, as they represent completed or active transactions. Nawathye also pointed out why it’s important to distinguish between canceling and closing POs.
