Send emails from a shared mailbox in Power Automate (without full access)

Writing on the Power Automate Community Blog, Ellis Karim stated that one of his company’s developers ran into a common issue. They needed a Power Automate flow to send official emails from a shared departmental mailbox. 

However, he explained that there was a hard rule: the account that runs the flow could not open, view, or read anything in that mailbox.

Karim noted that a lot of online advice suggests a quick fix — give the account full access to the shared mailbox. He pointed out that while that does make the flow work, it also lets the account read the entire inbox. Karim stated that this creates a real privacy and security risk.

He wrote that what they needed instead was a least-privilege setup. That way, the flow should be able to send emails from the shared mailbox, while keeping the contents secure.

Writing on his blog, Matthew Devaney stated that an agent built in Copilot Studio can create a Word document from a plain-language request and send it back in the chat window.
